Faculty Guidelines for DSPS Test Proctoring

DSPS proctoring services are only available to SBCC students
enrolled in SBCC courses and who are registered with DSPS

Disability Services & Programs for Students (DSPS) supports SBCC faculty and students by offering both in-person and remote proctoring services. Each format has its own coordination process, so please review the following guidelines carefully. Whenever possible, students should be accommodated within the course’s original learning modality. If exceptions are necessary, DSPS will inform you directly.

Ongoing Reminder - Student Accommodation Letters

Please check the DSPS Faculty Portal for student accommodation letters before each test date.

Share your Test Plans for the Class

Faculty are encouraged to share the following details with DSPS students in advance:

  • What is the test format?
  • How will it be proctored?
  • What are the test start/end times or deadlines?
  • What is the in-class test duration? 
    (This helps students verify if extended time has been correctly applied.)


In-person Proctoring at the DSPS Test Center

Students request tests through the DSPS Student Portal, ideally at least 5 days before the class test date.

Faculty Steps:

  • You’ll receive an automated email 5 days before the requested test date.
  • Log in to the DSPS Faculty Portal to:
    • Review/approve the request
    • Upload test materials or online access instructions
    • Submit details at least 48 hours (no later than midnight) before the student’s appointment

Using Respondus at the DSPS Test Center (for in-person, computer exams)

  • DSPS computers support Respondus LockDown Browser, but NOT Respondus Monitor—this must be disabled.
  • Important Exception: Respondus LockDown Browser must also be disabled for students approved for text-to-voice or voice-to-text. 


DSPS Remote Proctoring via Zoom (off-campus)

Available to DSPS students in online courses or with approved exceptions to use third party proctoring software. For more details, read:

Using Respondus for DSPS Remotely Proctored Tests via Zoom:

Since the primary function of Respondus LockDown Browser is to restrict access to all web pages except the test page, this feature will need to be fully disabled. Otherwise, the student will not be able to remain on the Zoom call with the DSPS proctor for monitoring purposes. Make the following changes:

  • Create a separate version of the test without Respondus Monitor or LockDown Browser, as needed.
  • Assign the test to the DSPS student/s taking the test with a DSPS remote proctor
  • Optional: Create and share a test password with DSPS.
  • Adjust the Canvas Gradebook, if necessary.

Best Practices (All Test Types)

Before the Test:

  • For in-person tests, aim to upload test instructions and materials to the DSPS Faculty Portal at least 48 hours (no later than midnight) before the test day.
  • For Canvas/Online tests, adjust both the test duration and the availability window to accommodate the student's accommodated test time. Make sure the correct in-class test duration is reported to DSPS for reference.

On Test Day:

  • Be available in case settings need adjustment.
  • Students will contact you and DSPS if issues arise before beginning the test.
  • Be prepared to extend deadlines or allow make-up tests if set-up errors occur.
  • DSPS proctors may reach out on a student's behalf—please respond quickly.

Special Accommodations

Medical Breaks (for Canvas/Online tests):

  • Add 15 minutes extra (on top of extended time).
  • Students may request additional break time depending on test length and disability.

Memory Aids

  • Students should submit a digital copy to their instructor for review and approval.
  • Instructors send the memory aid to dsps-testbooking@pipeline.sbcc.edu at least 48 hours before the test.
  • For remote tests, DSPS shares the aid with the student via email before testing
  • For in-person tests, upload the memory aid with the test via the DSPS Faculty Portal; DSPS will print a copy for the student along with the paper test)
